How the calculator works
- Paying members = seats × seats filled.
- Fees collected = paying members × average fee.
- Monthly profit = fees collected − rent − electricity − staff − everything else.
- Break-even = monthly costs ÷ average fee, rounded up to a whole member.
- Payback = setup cost ÷ monthly profit.
The example numbers only show how the calculator works. Rents, fees and electricity differ a lot from city to city and from one street to the next, so use quotes and bills from your own area.
Getting honest numbers
- Plan the first months at a lower fill. A new library rarely opens full. Try the calculator at 40–50% to see how long you can carry the costs.
- Use your summer electricity bill. Air conditioning can make summer bills much higher than winter ones. Plan on the higher bill.
- Average the fee across all members. Full-day, half-day and discounted yearly members pay different amounts; the average is what counts.
- Keep money aside for repairs. Chairs, ACs and inverters need attention every year. Put an amount for it in “Everything else”.
Ways to improve the result
- Sell the empty hours. Seats that are empty in the morning or evening can be sold as shifts at a lower fee.
- Stop losing days to late renewals. A reminder two or three days before a membership ends, and a UPI link to pay, keeps seats from sitting unpaid. The fee reminder message generator writes these for you.
- Offer longer plans. A small discount on three-month or yearly plans brings money in earlier and keeps members longer.
Questions
How full should a study library be to make money?
Look at the break-even line. It shows how many paying members cover your monthly costs and what share of your seats that is. The lower that share, the safer the business: a library that breaks even at half full can survive a slow month, one that needs 90% cannot.
My seats are sold in morning and evening shifts. How do I enter that?
Count every paying member, including shift members, and enter their average fee. Then set “Seats filled” to members divided by seats. With two shifts on some seats it can go above 100%.
Does the calculator include GST or income tax?
No. It works only with the amounts you enter. If you pay GST on fees, enter the fee you keep after GST. Income tax is not included.
Is what I type saved anywhere?
No. The numbers are calculated in your browser and are not sent to BookMyDesk or stored.
